You’ve found the dream venue—yay! It’s beautiful, the views are perfect, and the venue coordinator seems super helpful. So… do you still need a wedding planner?

This is a question I hear a lot, and it’s a really good one. At first glance, it might seem like a wedding planner and a venue coordinator do the same thing—but in reality, they focus on very different parts of your big day.

Let’s break it down.

Wedding Planner (aka Your Personal Wedding Fairy Godmother) 

A wedding planner is someone you hire to guide you through the entire planning process—from choosing the perfect place, to booking your dream team of suppliers, to making sure you actually eat some cake on the day.

We work for you. That means every decision, every suggestion, every piece of advice is tailored around what you want, not what’s easiest for the venue or anyone else. We’re there from the moment you get engaged until you say “I do.” (and sometimes a bit more after that).

What we do:

  • Help you find the right venue (especially if you’re planning from abroad or want something unique)
  • Create and manage your budget
  • Recommend and book trusted suppliers (photographers, videographers, florists, hair & makeup stylists to mention a few)
  • Design the overall look and feel of your day
  • Build a detailed timeline for the entire experience
  • Coordinate absolutely everything on the day so you can actually enjoy it without worrying about what everyone else is doing
  • Manage any drama, delays, or surprises with a calm smile and backup plan (and not bothering you with any problems).

If you’re planning a destination wedding or elopement, or you’re just too busy to manage a million moving parts, a wedding planner is your best friend and wedding fairy godmother in disguise.

Venue Coordinator (aka The On-Site Operations Pro)

A venue coordinator is employed by the venue, which means their main job is to make sure everything on their property is running as it should.

They’re often warm, capable, and great at logistics, but their role is limited to what the venue controls.
What they do:

  • Ensure the venue is open, clean, and ready for setup
  • Oversee venue-specific staff (kitchen, bar, waiters, cleaning crew, etc.)
  • Provide access to power, water, bathrooms, and furniture (if included)
  • Enforce venue rules (e.g. noise levels, finishing times, smoking areas)
  • Manage the timing from their side
  • Manage the closing process and any venue-specific admin

They’re absolutely essential if your venue includes catering or on-site accommodation, and they’ll know the ins and outs of the space better than anyone. But they’re not there to run your ceremony, or chase your suppliers.

 

So… Do You Need Both?

If you’re working with an all-in-one venue and you’re happy to manage your own suppliers, design, and timeline then maybe not.
